Invite colleagues

Create an invitation link for a clinician, assistant or administrator and share it yourself.

Practice managers can invite people to the practice. Each invitation is for one email address and one role.

Create an invitation

  1. Go to Settings → Practice → Members.
  2. Choose Invite member.
  3. Enter the person's email address. They must sign in with this exact address to accept.
  4. Choose a role:
    • Clinician: prepares, generates and signs notes, approves documents and codes.
    • Assistant: contributes intake and draft text, but cannot sign, generate drafts or approve document text.
    • Administrator: sees organisation settings and usage totals, but no patient charts.
  5. Tick Manage organization and member access if they should also manage members, invitations, shared shortcuts and practice-wide style.
  6. Choose Create invitation.

Terra shows the invitation link once. Choose Copy link and send it to your colleague through a channel you trust, such as your practice email. Terra does not send invitation emails itself, so the link only goes where you send it.

The link expires after seven days. If it expires or is lost, revoke it and create a new one.

What your colleague does

  1. They open the link.
  2. If they are new to Terra, they create an account with the invited email, verify it, and finish their profile. The invitation is applied at the end.
  3. If they already have an account, they sign in with a password or Google, and the invitation is accepted.

Acceptance needs a verified account with the invited email address. Someone signed in with a different address cannot use the link.

Change or remove a member

In Members, managers can change a person's role or management permission, or remove them. Removing a member detaches the membership from all of their sessions immediately. The last active manager cannot be removed or demoted, so a practice always has someone who can manage it.
