Text shortcuts insert phrases you write often, such as counselling statements or follow-up instructions. They never insert anything on their own and use no AI credits.
Create a shortcut
- Go to Settings → Text shortcuts.
- Add a shortcut with a trigger, such as
.followup, and its content. - Save.
Personal shortcuts belong to you. Practice shortcuts are shared with everyone and need management permission to change. If a personal and a practice shortcut share a trigger, yours is offered first and both are labelled.
Fill-ins and placeholders
Content can include placeholders that Terra fills from the saved visit:
{{patient_name}}{{encounter_date}}{{clinician_name}}
You can also add your own fields, for example a text field "Return interval", or a choice field with two to twelve options. A block of text can depend on a choice, such as including an examination sentence only when you choose "Include". Choices have no default; you pick each time.
Anything Terra cannot fill stays visibly unresolved so you can complete it.
Insert a shortcut
- In the note, open the shortcut palette or type the trigger.
- Pick the shortcut. A preview shows the exact text with your entries.
- Fill in any fields and choose insert.
The insertion is saved like any other edit and can be undone. Signed notes cannot receive shortcuts; use an amendment instead.
Test, import and export
The tester in Text shortcuts previews a shortcut with sample values without touching a patient. You can export shortcut definitions as a JSON file and import them into another practice or account. Imports add new shortcuts and never overwrite existing ones; a clashing trigger must be renamed or skipped.
Favourites and usage
Star shortcuts you use most. Practice managers can see how often shared shortcuts are inserted, without any note text.
