In a practice where clinicians share one allowance, managers can set a monthly limit for each clinician. A limit never adds credits; it only caps one person's share.
Set a limit
- Open Usage and plan → Clinician spending limits.
- Choose a clinician.
- Enter a limit:
- Leave it empty to let them use the shared allowance freely.
- Enter 0 to block new credit-using work for them.
- Enter a whole number to cap their credits for the month.
- Add a reason and save.
Every change is kept with who made it, when and why.
How the month is counted
Limits use calendar months in UTC, independent of your billing renewal date. A clinician's committed credits are what they were charged this month plus anything still reserved for work in progress, including reservations still held from an earlier month.
What happens at the limit
When a new draft, transcription or other request would go over the limit, Terra stops it before it runs and explains why. Work that already started can finish. Lowering a limit below what someone has already used does not cancel anything or refund credits; it just leaves no room for new work.
What clinicians see
Each clinician can see their own usage and remaining limit. Managers see every member's usage, reserved and available credits, without any chart content.
